Terms & conditions.

These terms apply to every ticket for Physis Oundle · Wellbeing Festival, Sunday 18 October 2026, at The Talbot Hotel, Oundle. By booking a ticket or entering the venue, you agree to them.

1 · Tickets & entry

A ticket admits one named person for the whole day. Early bird tickets are £60 until 31 August 2026; thereafter tickets are £70. Your place is confirmed by email once your booking and payment are complete.

Wristbands must be collected in person at registration on the day (09:00–09:30) and worn at all times. Entry to talks, workshops and the Discovery Zone is by wristband only. Lost or removed wristbands cannot be replaced.

Discovery Zone activities are included in the ticket price but must be booked in person on the day and are allocated first come, first served. We cannot guarantee a place on any individual activity, and no refund is available if a particular activity is fully booked.

2 · Refunds & cancellation

Tickets are non-refundable. Once purchased, tickets cannot be refunded or exchanged for another date, except in the circumstances set out below.

Transfers. You may transfer your ticket to another person free of charge up to 7 days before the festival by contacting us with the new attendee's name and email address.

If we cancel the festival. If the event is cancelled in its entirety by the organisers, you will receive a full refund of the ticket price.

If we postpone the festival. Your ticket will automatically be valid for the rescheduled date. If you cannot attend the new date, you may request a full refund within 14 days of the new date being announced.

Speaker, session and layout changes. Changes to the line-up, timings, session content or festival layout do not entitle you to a refund (see section 6).

Refunds are made to the original payment method and cover the ticket price only; travel, accommodation and other personal costs are not reimbursed.

3 · Age, ID & dogs

The festival is designed for adults. The minimum age for entry is 16. Attendees aged 16 and 17 must be accompanied at all times by a ticket-holding adult (18+) who takes responsibility for them.

Children under 16, including babies and infants in arms, cannot be admitted. Some sessions explore sensitive subjects including anxiety, trauma and bereavement.

We may ask for photo ID to confirm age at registration. If you cannot provide satisfactory proof of age, entry may be refused without refund.

Dogs and other animals are not permitted, with the exception of registered assistance dogs. Please let us know in advance if you will be accompanied by an assistance dog so we can support your visit.

4 · Health, participation, risk & liability

You attend the festival and take part in all sessions at your own risk. Sessions may include physical movement (such as somatic yoga), guided hypnotherapy, experiential exercises and the use of technologies including virtual reality and neurofeedback devices.

Nothing at the festival constitutes medical, psychological or therapeutic advice, diagnosis or treatment, and it is not a substitute for care from your GP or clinician. If you have any physical or mental health condition, are pregnant, or are unsure whether a session is suitable for you, please seek professional advice before taking part and speak to the session facilitator on the day.

You are responsible for judging your own limits and may leave any session at any time. You must follow the instructions of facilitators, venue staff and stewards.

To the fullest extent permitted by law, the organisers, the venue, speakers and contributors accept no liability for personal injury, illness, loss, theft or damage to personal property. Belongings are brought onto site at your own risk. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, or for fraud, where such exclusion is not permitted by law.

Participants bringing a yoga mat and towel for the somatic yoga session do so at their own risk and remain responsible for their own equipment.

5 · Photography, filming & recording

The festival will be photographed, filmed and recorded. By entering the venue you consent to your image, likeness and voice being captured and used by the organisers and their partners, without payment, for promotional, editorial, broadcast and archival purposes across print, web, social media and other media, worldwide and in perpetuity.

If you would prefer not to appear, please tell a member of the team at registration and we will do our best to accommodate you, including offering a marker so photographers can identify you. If you appear in material already published and would like it removed, contact us and we will consider your request.

Attendees may take personal photographs, but filming or audio recording of full sessions is not permitted, out of respect for speakers and for the privacy of other participants — particularly in experiential and group sessions. What is shared in the room stays in the room.

6 · Line-up, schedule & layout changes

The programme is offered in good faith and may change. The organisers reserve the right to alter or substitute speakers, session titles and content, start and finish times, room allocations, the Discovery Zone offering and the festival layout, without notice and without refund eligibility.

We will publish material changes on this website and, where time allows, notify ticket holders by email.

7 · Conduct & the venue

Physis Oundle is a shared space built on respect and confidentiality. We ask everyone to treat other attendees, speakers, staff and the venue with care. The organisers may refuse entry to, or remove, anyone whose behaviour is abusive, discriminatory, disruptive or unsafe, without refund.

The Talbot Hotel rules apply throughout, including any rules on smoking, vaping, alcohol and access to areas of the hotel not in festival use. Refreshments are not included in the ticket price.

8 · Your data

Booking details are collected by Octopus Psychology to administer your ticket, send festival information and manage the event on the day. We will not sell your details. Event-related emails are sent to all ticket holders; marketing emails are sent only where you have opted in, and you can unsubscribe at any time.

Dietary and access notes are shared only with the staff who need them to support your visit.
